Home Swim Meet Organization

Hello Seahorse families,

Congratulations on hosting our 1st in-person Swim Meet of the season (and the first one in over a year)!  Everyone involved did a great job.  Thank you to all the wonderful volunteers that made hosting the meet possible.  Our Seahorse families are so generous and supportive... we could not do this without you!

Moving forward, there are some things I would like to clarify and some changes we are going to institute to help meets run smoother.

BEFORE THE MEET

* Parents are asked to fill out their swimmers attendance status in Swimmingly by the Sunday, prior to the Tuesday Meet.  Swimmingly will send parents emails with links the to verify attendance.

* I will send out a volunteer role spreadsheet the day before the Meet to review the jobs you have signed-up for.

* WE WOULD LOVE MORE PARENT VOLUNTEERS!  You can sign-up to volunteer in your Swimtopia account.  Directions for Job sign-up:

https://southall.swimtopia.com/signup-instructions

If there all jobs are filled for a meet and you would like to volunteer please reach out to me for additional ways to help.

* To See the jobs you have already sign-up for: Log into Swimtopia, on the top right click on your name and use the drop down menu to select My Account. This will show your information and which jobs you have already sign-up for.

* I will send out a HEAT SHEET with a list of Meet Events in order and which competitors are in each event.  Parents can print this or have it open during the meet to see when their child is in the line-up.

AT THE MEET

* Please arrive on time.

* All swimmers will check-in next to the guard shack.  We will check off swimmers as they arrive and put their numbers on.

* Swimmers will be escorted to their "home base".  We will be using the picnic tables as a place for swimmers to wait between sets.  The tables will be labeled by age groups.

* When it is time for a swimmer to complete; they will be gathered, walked to the wooden benches, and lined up accordingly.

* Parents should use the heat sheet to know which events their swimmer is completing in and should not leave the meet until their sets are complete.  This avoids us having to scrap sets because of missing competitors.

* Paper Line-Up/HEAT SHEETS will be provided for staff, officials, and volunteers.

PRACTICE DAYS CHANGE: Due to parent and coach feedback, we are moving Wednesday morning practices to Tuesday mornings.  Please let me know if you have any questions or concerns.

I want to make sure to again say, THANK YOU for all of your support, help, and patience with swim team practices and meets.  The kids are doing great! It is wonderful to watch them interact, complete, grow and above ALL... have fun!
